Terms & Conditions

Please carefully review the following information as it forms an integral part of your contract for
the trip and any associated services. If you have any inquiries, please contact us promptly.

BOOKING ACCURACY/LEGAL NAMES
Passengers are required to promptly review all aspects of their booking to verify (but not limited
to): passenger names, mailing addresses, email addresses, telephone numbers, date of birth,
pricing, airfare, arrival/departure airports, accommodations, and organized activities on their
booking receipt. Please notify Green Planet Expeditions immediately if any omissions and/or
corrections are needed regarding the booking details. Passengers voluntarily assume full and sole
responsibility for all risks and/or costs involved with failure to report such errors and/or omissions.
Passengers are required to verify the accuracy of their LEGAL first and last names. Guest names
must be identical to the passengers; LEGAL first and last names and identical to the names as they
appear on booking and travel documents.

TRAVEL DOCUMENTS:
Passenger(s) assumes sole responsibility for independently confirming all documentation
requirements, including passport, visa, vaccination, or any other entry and/or travel requirements
for each destination. Passenger(s) also assume sole responsibility and hereby release Green Planet
Expeditions from any claims or responsibility for any damages incurred as a result of their failure
to comply with applicable documentation requirements. This includes the obligation to procure
and carry the proper travel documents at all times. Green Planet Expeditions recommends that
Passenger(s) consult with the appropriate domestic and foreign governmental agencies to stay
updated on current document requirements.

PAYMENT SCHEDULE FOR HOLIDAY TRIPS
This applies to Christmas, New Year, Presidents Week, & Easter

Upon accepting the proposal, a non-refundable deposit of 50% of the total trip cost is required to
secure your reservation. The remaining balance is to be paid in full 90 days before the departure start date. For trips booked within 90 days of the arrival date, full payment is required to confirm hotel
reservations.

PAYMENT SCHEDULE DATES OTHER THAN HOLIDAY DATES
Upon accepting the proposal, a non-refundable deposit of 50% of the total trip cost is required to
secure your reservation.  The remaining balance is to be paid in full 60 days before the departure start date.  For trips booked within 60 days of the arrival date, full payment is required to confirm hotel
reservations.  Payments can be made by check, bank transfer, debit, or credit card (we accept Visa and Master Card).

SPECIAL DATES CANCELLATION POLICY
Initial payments for bookings made during special Peak Season dates, such as December 15 to
January 15, Easter Week, President’s Week, and Thanksgiving Week, are non-refundable. It is a
requirement to acquire trip cancellation and travel protection insurance when traveling with
Green Planet Expeditions.

CANCELLATION POLICY FOR ALL OTHER TRAVEL DATES
To initiate a change or cancellation, we kindly request that you provide written notice to Green
Planet Expeditions. The effective change or cancellation date will be determined as the date we
receive your written notice.

For our purposes, the departure date is defined as the day of your arrival flight or the scheduled
trip/cruise departure date mentioned in your itinerary, whichever occurs earlier. In the event of a
cancellation before departure, the refund amount will be adjusted according to the cancellation
schedule below, taking into account any additional nonrefundable cancellation fees, deposits, and
payments already made to airlines, hotels, and destination service providers.

To secure your reservation, Green Planet Expeditions holds it until the ‘Payment Due Date’
specified in your confirmation. It is essential to submit the required deposit or final payment on or
before the Payment Due Date to avoid automatic cancellation of your reservations. Timely
payment is crucial, and any delay may put your booking at risk of cancellation. If circumstances
prevent you from meeting this obligation, kindly contact us in advance of your payment due date
to discuss alternative arrangements. Please note that Green Planet Expeditions cannot be held
responsible for the cancellation of bookings resulting from late payment or credit card declination.
By accepting these terms, passengers voluntarily release Green Planet Expeditions from any
liability associated with such cancellations.

If you need to cancel your trip, the following conditions and cancellation fees will be applied:

Cancellations received 30 days or less prior to arrival: No refund will be provided.
For cancellations received between 31 and 59 days before arrival the following fees apply:

  • A cancellation service fee of $1,500.00 per household
  • The applicable credit card processing fee at the time of the refund will be deducted from all refund
    amounts. As of June 08, the fee is 8% of the total amount paid (subject to change).
  • Deposits already paid to hotels or other suppliers to secure your booking are non-refundable.           For Cancellations received more than 60 days before arrival:
  • A cancellation service fee of $1,000.00 will be charged.
  • The applicable credit card processing fee at the time of the refund will be deducted from all refund
    amounts. As of June 08, the fee is 8% of the total amount paid (subject to change).
  • Deposits already paid to hotels or other suppliers to secure your booking are non-refundable.
    Cancellation or changes to your itinerary may incur additional service charges imposed by hotels,
    local service providers, and airlines. We will review your trip item by item and will advise the total
    fee to be charged.

We kindly request that all travelers take note of the following essential details:

Cancellation by Participant: If you decide not to participate in the tour due to State Department
warnings, fear of travel, or any reason unrelated to acts of God, it will be considered a cancellation
on your part.

Civil Unrest: In the event of civil unrest, Green Planet Expeditions will thoroughly investigate the
situation and, at its sole discretion, determine whether to proceed with the trip.

Liability and Refunds: Green Planet Expeditions’ liability is strictly limited to refunding the
recoverable cost from Third-party suppliers for any unused portion of the trip. Please note that if
you are removed from the trip for any reason, you will not be entitled to a refund.

Denial of Participation: Green Planet Expeditions reserves the right to deny participation to
individuals it deems unsuitable for the trip.

Postponements and Changes: Requests for postponement or changes to reservations will be
accommodated based on space availability and the consent and/or ability of the third-party
suppliers. Please be aware that an administrative charge may apply ($75 per person), which will be
added to the final invoice.

Additional Fees and Penalties: Third-party Suppliers often impose additional fees or penalties for
changes and cancellations, which will be included in the change fee and can be significant.
We advise all travelers to carefully consider this information and contact us if they have any
questions or concerns. Your understanding and cooperation are greatly appreciated as we strive to
provide you with a safe and enjoyable travel experience.

OUR LIABILITY
Green Planet Expeditions acknowledges responsibility for arrangements within our direct control
concerning your holiday and, as such, accepts liability for the negligence of our employees towards
our travelers. However, we wish to emphasize certain situations beyond our direct control or
where we choose not to accept liability:

Under no circumstances whatsoever shall Green Planet Expeditions be held liable to the traveler
or any person traveling with them for any death, personal injury, sickness, accidents, loss, delay,
discomfort, increased expenses, consequential loss, and/or damage or theft, in any manner
whatsoever caused.

We shall not be responsible for any act, omission, or default of any independent contractor or
other people, or any servant or agent employed by them, who may be involved in providing
accommodation, refreshment, the carriage facility, or service for the travelers or any person
traveling with them, in any manner whatsoever caused.

Green Planet Expeditions is unable to assume liability for commercial arrangements beyond our
control, such as natural disasters, industrial disputes, threats or acts of war, riots, civil strife,
terrorist activities, technical problems with transportation, extreme weather conditions, closure of
airports and seaports, or similar events beyond our control, or arising from unusual and
unforeseeable circumstances beyond our control.

PRICING
The prices and availability quoted by Green Planet Expeditions are subject to change and are not
guaranteed until the deposit is fully paid. While we strive to provide accurate and up-to-date
information, Green Planet Expeditions is not responsible for any errors or omissions in any quotes,
or advertisements, including those on our website, which may result in inventory, content, or
pricing discrepancies. Additionally, Green Planet Expeditions cannot be held responsible for any
errors or omissions that may occur due to incorrect information provided by third parties.

It is important to note that suppliers have the right to refuse to honor any published prices that
are deemed erroneous due to electronic, printing, or clerical errors. As a passenger, you
acknowledge and understand this right, and you agree to hold Green Planet Expeditions harmless
for any actions or damages arising from supplier pricing discrepancies.

Furthermore, Green Planet Expeditions reserves the right to charge passengers for any increases
in taxes, fees, or surcharges, such as fuel charges**. As a passenger, you acknowledge and accept
this right, and you agree to be responsible for paying any additional taxes, fees, and surcharges
that may arise.

**FUEL AND FUEL SURCHARGES: In the uncertain, often volatile oil market of late, it is difficult – if
not impossible – to predict fuel costs over the long term, and more specifically, at the time of
operation of this departure. Our prices are based on the prevailing fuel rates at the time of
itinerary publication. While we will do everything possible to maintain our prices, if the fuel rates
increase significantly, it may be necessary to institute a fuel surcharge.

While it is rare for pricing discrepancies to occur once quoted, it is important to be aware that
unforeseen circumstances may lead to changes in pricing or availability. Green Planet Expeditions
will make every effort to communicate any changes promptly and effectively, ensuring
transparency throughout the booking process.

By proceeding with the booking, you acknowledge and agree to the pricing terms outlined
above, understanding that Green Planet Expeditions strives to provide accurate information and
exceptional service, but cannot be held liable for any errors or discrepancies that may arise from
supplier pricing or other factors beyond our control.

PRE-DEPARTURE SERVICES
At Green Planet Expeditions, we strive to ensure that you are well-prepared and informed before
embarking on your journey. Please take note of the following details regarding our pre-departure
services:

Digital Documentation: To minimize the use of paper and facilitate convenience, all pre-departure
information will be provided to you via email. Upon receipt of your deposit and Reservation Form,
we will send you a comprehensive package of digital documents containing essential details for
your trip.

Information Included: The pre-departure information will cover various aspects of your travel,
including immunization recommendations, visa and permit forms (if applicable), trip insurance
guidance, a packing list, a reading list, and a statement of account. Additionally, for specific trips,
participants may be required to have their physician complete and sign a Physician Certificate.
Final Trip Packet: Approximately 2-3 weeks before your departure, you will receive a final trip
packet digitally. This packet will include important reminders, a final itinerary, and local contact
information at your destination.

Verification and Responsibility: Upon receiving all travel documents, it is your sole responsibility to
review and verify all information. Green Planet Expeditions relies on the accuracy and timeliness
of the traveler information provided by you. We cannot be held responsible for any fees or
expenses resulting from inaccurate data entry or delayed provision of information.

We aim to make your pre-departure experience seamless and efficient. Should you have any
questions or require further assistance regarding the pre-departure services or any other aspect of
your trip, please don’t hesitate to contact us.

ADVENTUROUS PURSUITS
During your trip, you may have the opportunity to participate in activities that are considered
hazardous by insurers. These activities can encompass various sports such as water sports,
horseback riding, mountain biking, rappelling, and zip lining, among many more. You need to
consult with your insurance provider and ensure that you have appropriate coverage for all

activities included in your itinerary. In some cases, your insurer may require an additional
premium for coverage of hazardous activities.
Please be aware that Green Planet Expeditions will not be held liable for any personal injury or
death resulting from such activities unless they are intentionally or negligently caused by our
organization per se.
Your safety is our top priority, and we urge you to carefully evaluate the risks associated with any
activities you engage in during your trip. It is your responsibility to make well-informed decisions,
take necessary precautions to safeguard yourself, and ensure adequate insurance coverage. By
mandating protection and trip insurance, we aim to minimize any potential liability concerns in a
legal context.

TRAVEL INSURANCE
To ensure your peace of mind and comply with our travel policies, it is mandatory to purchase trip
cancellation and travel protection insurance when planning to travel with Green Planet
Expeditions.
At Green Planet Expeditions we prioritize the safety and security of our travelers. While we
meticulously plan every detail of your trip to ensure a smooth and hassle-free experience, you
must obtain the appropriate insurance coverage before your journey with us.
Our recommendation for travel insurance in the United States is Travelex Insurance. With an
impressive claims payment rate of 95.9%, Travelex stands out for its efficiency and reliability.
When it comes to filing a claim, we prioritize our customers’ needs by submitting the necessary
paperwork to Travelex within 24 hours of receiving the request (weekdays). This commitment
ensures that our valued travelers receive their funds expeditiously. Travelex Insurance has earned
a distinguished reputation for exceeding the industry average, providing payments up to five times
faster than their counterparts.

This company is intended to assist you as an option. It is important to note that it is not an
exclusive choice, and you may come across alternative insurers that align better with your
specific needs and preferences. We encourage you to consider this suggestion as a starting point
on your journey to find the most suitable insurance provider.
Travel insurance is a comprehensive and complex product, and the insurance you choose must be
suitable for your situation. As every traveler and trip is unique, we highly recommend carefully
reviewing any policy you consider ensuring it meets your specific requirements.

Note: Certain trips, such as expeditions to polar regions and treks in high-altitude areas, require
proof of emergency evacuation insurance. Carefully review any policy you consider ensuring you
have appropriate insurance for your trip and that it covers any activity you intend to undertake.

EXCURSIONS AND/OR ACTIVITIES
Pre-booked excursions and activities included in your trip package, as stated in our booking
confirmation, are an integral part of your contract with us. We diligently select suppliers who
provide these services, ensuring a high standard of quality and care. Please note that any
additional excursions or activities purchased directly from local suppliers or third parties during
your trip are not part of your contract with us. Your agreement for such activities will be with the
respective supplier or third party, subject to their terms and conditions. We assume no liability for
the performance of these independently arranged excursions or activities.

SPECIAL REQUESTS
We strive to accommodate any special requests we receive, such as health and dietary
requirements, or room preferences. We will relay these requests to the relevant suppliers.
However, please note that we cannot guarantee the fulfillment of these requests, and we cannot
be held liable for any loss or inconvenience arising from non-compliance with such requests.

CHANGES MADE BY GREEN PLANET EXPEDITIONS TO YOUR ITINERARY
Under rare and unforeseen circumstances, it may become necessary for us to adjust your
confirmed booking. We retain the right to make minor changes when required while ensuring that
we promptly communicate these modifications to you and that they are made before we send
your final itinerary.

SUPPORT
We are committed to offering timely and suitable assistance in case you encounter difficulties
during your trip, regardless of our liability for compensation. Our support includes providing
essential information regarding local health services, contacting relevant authorities and consular
services if needed, facilitating long-distance communications, and assisting you in arranging
alternative travel options. Please note that if the difficulty arises intentionally or due to negligence
on your part, we reserve the right to charge a reasonable fee for the assistance rendered.

AIR TRANSPORT
You are responsible for arranging your own air or transportation to and from the starting and
ending destinations of your Green Planet Expeditions itinerary. Green Planet Expeditions does not
assume any responsibility for schedule changes related to air and/or connecting ground
transportation. Airfares are subject to change until purchased, and any fare increase is your
responsibility. It is important to ensure that the name on your airline ticket matches your passport
before ticket issuance. If you need to modify your land arrangements due to air routing within 30
days of travel or after ticketing, a $75 per person change fee applies, in addition to any change or
cancellation charges imposed by the airlines, hotels, and any other supplier involved. The passage

contract issued by the ticketing agency and airlines shall be the sole contract between the airlines
and passengers. The transportation provided is subject to the laws of the respective countries.
Different airlines have varying degrees of safety and risk. Some carriers may have unknown safety
and maintenance records. Green Planet Expeditions is not liable for incidents related to airline
safety, risk, delays, etc., that result in injury, disability, disfigurement, or death. By agreeing to
these terms, you acknowledge that you are bound by the terms and conditions of the airline
provider, understand them, and accept responsibility for reservations, payments, changes,
cancellations, and disputes with the airline provider and ticketing agency.

FLIGHT CONFIRMATIONS
Before your adventure begins, it's crucial to ensure all your travel essentials are in order. Please
carefully review and prepare your travel documents, passport, visa, and insurance for validity and
accuracy. Allow sufficient time for airport check-in procedures.
To ensure a seamless journey, we recommend reconfirming your flight directly with the airline
before departure. If you need assistance with this process, please contact us at least 72 hours
before your outbound flight. Take note of any reference numbers or contact names provided
during reconfirmation.
Please note that failing to reconfirm your flight may result in the airline denying boarding and
potential loss of refund. Timely reconfirmation is essential for a smooth travel experience.

LUGGAGE
Please note that each airline has its specific policy concerning luggage. We advise you to
proactively check with your airline in advance regarding any weight restrictions and additional
charges related to checked baggage. It is your responsibility to settle any supplementary fees
directly with the airline for checked or overweight baggage, including items such as golf bags or
oversized luggage. Should you exceed the weight limit allowed by the airline, and if excess weight
is permitted, you will be required to pay an additional supplement directly to the airline at the
airport.
Please be aware that the airline assumes liability for the baggage you entrust to them solely as
stipulated in the applicable international conventions and relevant statutes. In the unfortunate
event of damage, delayed delivery, theft, or loss of your luggage, it is essential to promptly contact
your airline to report the damage, absence, or loss of your personal belongings before leaving the
airport. Subsequently, you will need to complete a declaration, accompanied by the originals of
the following documents: the travel ticket, the baggage check-in slip, and the declaration form. To
safeguard your interests, Green Planet Expeditions travelers must obtain an insurance policy that
adequately covers the value of their belongings.

ALUMNI BENEFITS
Green Planet Expeditions values the loyalty and support of our previous travelers, and as a token
of our appreciation, we offer exclusive discounts to our esteemed alumni. Please take note of the
following details regarding alumni discounts:

Alumni discounts are available to previous travelers who have embarked on a Green Planet
Expeditions trip. These discounts are subject to change and are applicable for guests ages 18 and
up. Furthermore, alumni discounts cannot be combined with other discounts or utilized when
booking through a third party.
Please be aware that Green Planet Expeditions reserves the right to modify, amend, or cancel
these alumni benefits at any time. We encourage you to review the specific terms and conditions
associated with each trip to determine the availability and applicability of alumni discounts.
Special permits, cruise segments of itineraries, escorted trips led by the company's founders, and
special conservation/fundraising trips are exempt from any discount offers.
Benefits must be applied at the time of booking and cannot be combined with multiple
promotions, except for our referral program. Before applying discounts, deductions will be made
for project donations and referral bonuses when apply.

IMAGE USAGE AGREEMENT
By participating in our trips, you agree that Green Planet Expeditions reserves the right to use,
reproduce, and copyright any images, photos, or videos you share with us during or after the
trip. This includes images taken by our guides or fellow travelers, featuring you individually or in a
group. These visuals may be utilized in various mediums, such as print, electronic media, and the
Internet, worldwide and without charge, solely for promotional and publicity purposes related to
our travel products and services. We kindly inform you that your right to inspect these materials is
waived. Please rest assured that we are always committed to safeguarding your identity and personal information.

DOCUMENT HANDLING
At our adventure travel company, we understand the importance of travel documents like
vouchers, airline tickets, and park entrances. To ensure a hassle-free experience, we provide the
required documents upon your arrival at the destination airport. You will only receive what is
necessary, with additional paperwork handled by your dedicated guides. If you don’t get a voucher
for a service, it means you don’t need it as the service has been pre-paid and diligently confirmed
with our trusted network of suppliers well in advance. We aim to minimize the number of
documents you handle, allowing you to enjoy a stress-free travel experience of the highest caliber.

SEVERABILITY
If any provision of this agreement is found to be unenforceable or invalid under applicable law,
such provision shall be deemed modified to the minimum extent necessary to render it
enforceable and valid while preserving the intent of the parties to the fullest extent possible. If a
modified provision remains unenforceable or invalid, it shall be severed from this agreement, and
the rest of the provisions shall remain in full force and effect. The unenforceability or invalidity of
any provision shall not affect the validity or enforceability of any other provision in this
agreement.

JURISDICTION
This contract is governed by Costa Rican law and is subject to the jurisdiction of the Costa Rican
courts.

BINDING AGREEMENT:
By reviewing these terms and conditions and submitting your deposit, the aforementioned text
constitutes a legally binding Agreement. It represents the final, comprehensive, and exclusive
agreement between the parties regarding the subject matter contained herein. This Agreement
supersedes all prior negotiations and agreements. These Terms and Conditions, together with any
other referenced terms and conditions, encompass the entire agreement between the
Participant/Traveler and Green Planet Expeditions concerning travel bookings made through
Green Planet Expeditions using any means, and it prevails over any prior or contemporaneous
communications and proposals, whether transmitted electronically, orally, or in writing, between
the Participant and Green Planet Expeditions about communications with Green Planet
Expeditions. A printed version of this agreement and any electronically provided notices shall be
admissible in judicial or administrative proceedings relating to these Terms and Conditions, to the
same extent and subject to the same conditions as other business documents and records
originally generated and maintained in printed form. This Agreement shall be binding upon the
parties and their respective successors and assigns.
All images and text are the exclusive property of Green Planet Expeditions and cannot be used by
other persons or organizations without written permission from Green Planet Expeditions.

NO COPYING OR EDITING
No material from this website may be modified, copied, reproduced, republished, downloaded,
posted, displayed, transmitted, performed, licensed, used to make a derivative work, transferred,
sold, or distributed in any way, without our prior written consent. You may not frame or mirror
any material on this website on any other server or other location. Unauthorized use of any such
material on any other website computer environment or elsewhere is prohibited.

RESERVATION OF RIGHTS: CHANGES TO THESE TERMS
We retain the exclusive right, at our discretion, to modify these Terms at any time. Revised
versions of the Terms will be promptly posted on this website and become effective immediately
upon posting. It is strongly advised to regularly review these Terms, particularly before accessing
this website, to ascertain any alterations. Your continued use of the website following any
modifications to the Terms implies your acceptance and consent to such changes.

While we do not sell or trade your personal information to third parties for marketing purposes, we do share relevant details with trusted partners, including hotels and local operators at the destinations we serve. This sharing is crucial for ensuring a seamless travel experience, including booking accommodations, confirming services, purchasing park fees, arranging internal and international flights, and facilitating support in unforeseen circumstances, such as natural disasters.

Our partners are bound by confidentiality agreements and are committed to protecting your information by industry standards. We only share the data necessary for delivering the services you’ve booked with us.

Your privacy remains our top priority, and we take every precaution to ensure the security and confidentiality of your personal information.
